Privacy notice

Rosemary Oak(operated by Samantha Scholefield in Vancouver, BC) respects your privacy and complies with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia’s Personal Information Protection Act (BC PIPA). This notice explains what information we collect, how we use it, and your rights.

What we collect

  • Contact form: first name, last name, email address, optional phone number, and any details you choose to include in the message field.
  • Newsletter: name and email address, used solely to send the newsletter you have requested. Every newsletter email includes a one-click unsubscribe link.
  • Booking: any information you submit through the booking page, handled by Microsoft 365 Bookings under their privacy terms.
  • Analytics: if you accept analytics cookies, we use Google Analytics with IP anonymisation to understand which pages help readers most. No analytics data is collected if you decline.

How we use it

  • To respond to enquiries and schedule sessions.
  • To send the newsletter you subscribed to.
  • To improve the site and the writing here. We never sell or rent personal information.

Where it is stored

Contact form submissions and newsletter subscriber information are stored in Microsoft 365 services. Bookings are managed in Microsoft 365 Bookings. Analytics events are processed by Google. Data may be transferred to and stored on servers outside Canada.

Canada’s Anti-Spam Legislation (CASL) governs the commercial electronic messages we send you, and PIPEDA governs how we collect and handle your personal information. Both require that contact be intentional and that consent be auditable.

  • Contact form: by submitting the form, you are giving express consent for Samantha to reply to your message at the email address you provided. The privacy and terms checkbox is required, and the date and time of your acceptance are recorded.
  • Newsletter: by ticking the subscribe checkbox, you are giving express consent to receive Insights from Rosemary Oak. Every newsletter email includes a one-click unsubscribe link. The unsubscribe link never expires.
  • Consent records: we store the date and time you accepted the privacy notice, the page you were on when you submitted, and the consent timestamp. We keep these records so we can demonstrate consent if asked.
  • What we do not do: we do not send unsolicited marketing email, we do not share your address with anyone, and we do not buy or import contact lists.

Your rights

  • You can ask to see what personal information we hold about you.
  • You can ask us to correct or delete your information.
  • You can unsubscribe from the newsletter at any time using the link in any email.
  • You can withdraw analytics consent at any time by clearing your browser storage and reloading the site.

To exercise any of these rights, send us a note. We respond within five business days.

We use a small set of cookies and similar technologies. The cookie banner on first visit lets you choose whether to allow analytics. Essential cookies (such as the one remembering your consent choice) are always set.
